Overview:

Having gym members' sign a Liability Waiver and Membership Contract are two of the most important steps to protecting yourself and your gym. 


SimpleGym automatically prompts all newly added gym members to sign a customizable Member Agreement and Liability Waiver when they’re added to your gym's SimpleGym account. And once a new member has electronically signed those contracts, they are automatically stored in SimpleGym, should you need them in the future. 


Review Your Member Contracts

Before you start adding gym members to your SimplGym account, you should review the contracts that your new members will be asked to eSign and customize the contracts to your gym's specific needs.

  • To view your Member Contracts, click Contracts.

    • The two contracts listed here are required to be electronically signed by any new members when they are added to SimpleGym.

    • Your SimpleGym account has been pre-loaded with two contracts, a Member Agreement and a Waiver of Liability.
      • Note: Because laws differ by state and each gym has unique legal concerns, we highly recommend that you review these sample contracts in detail with your own legal counsel and consider editing them to meet your specific gym and jurisdictions requirements.


Editing Member Contracts

Let’s look at how to edit your gym's contracts. We'll start with editing "Member Agreement."

  • Click Contracts.

  • Click Member Agreement.
    • The existing Member Agreement contract language is displayed, along with a few pieces of short-code that dynamically insert fields like the name of your gym into the Member Agreement, when they are presented to your new members to electronically sign.

    • To edit, simply type in the contract window, as you would any document.

      • Note: The contract includes short-code, as indicated by {{ }}. This short-code is replaced dynamically with things like gym name, member name, etc., when the member is presented with a contract to sign. When editing a contract, make sure that you do not remove the {{ }} symbols, otherwise the dynamic replacement functionality will cease.

      • SimpleGym Contracts support the following short-code:

        • {{business_name}} 
          • Your Gym's name, as selected by you, and visible via the My Account link.
        • {{member_full_name}} 
          • The Gym member's name, as typed in the Member profile.
        • {{member_email}} 
          • The Gym member's email address, as typed in the Member's profile.
        • {{member_phone}} 
          • The Gym member's phone number, as typed in the Member's profile.
        • {{plan_price}} 
          • For the Member Plan that Member is assigned to, the pricing, as typed in the Pricing field.
        • {{plan_duration_period}}
          • For the Member Plan that Member is assigned to, the plan duration period (e.g. daily, weekly, monthly, annually), as typed in the Plan Duration field.
        • {{plan_billing_cycles}} 
          • For the Member Plan that Member is assigned to, the plan duration, as typed in the Plan Duration field.
        • {{is_auto_renew_plan}} 
          • For the Member Plan that Member is assigned to, whether the plan auto-renews, based on whether Auto-Renew is toggled on/off.
    • Click Save,when you’re done editing
      • Note: SimpleGym wants all of your gym members to sign the most updated form of your contracts. So, anytime you edit and save a new contract, all of your existing members will be prompted to sign the updated contract the next time they check in to your gym.

  • The same steps can be used to edit the Liability Waiver.


How New Members Sign Contracts

To see how new Gym Members are asked to sign Member Contracts, walk through the process of adding a sample new member.

  • Click Members.

    • Click Add New. (see Screenshot)

    • Complete the Member Details, including the Profile Details, and Account Details.

    • Click Save.


Liability Waiver: Once a new member is added, the member is prompted to electronically sign the "Waiver of Liability" contract by typing in his/her name.

  • Type in Member's Name

    • Note: It's important that when using SimpleGym contracts, you have the actual Member electronically type in their own name and sign the agreement. The gym owner should not do this on their behalf.
  • Click Accept


Then add the sample new member's billing information. 

  • Type in the Billing Info and Credit Card Info.

  • Click Save.


Member Agreement: Once a new member's billing information is added, the member is prompted to electronically sign the "Member Agreement" contract by typing in his/her name.

  • Type in Member's Name

    • Note: It's important that when using SimpleGym contracts, you have the actual Member electronically type in their own name and sign the agreement. The gym owner should not do this on their behalf.
  • Click Accept


Note: As laws differ by state, it’s important to review the enforceability of electronically signed documents in your state with a local attorney to ensure that SimpleGym's electronic contracts will be enforceable in your jurisdiction.


Accessing Signed Member Contracts

SimpleGym automatically stores new member contracts, in case you need to access them at a later date. Let's look at how to access signed member contracts.

  • Click Members

  • Click the name of the Member whose contracts you want to access.

  • Click the contract you want to view.

    • Note: While SimpleGym stores your member contracts throughout the life of your SimpleGym account, no electronic storage system is foolproof. Therefore, we highly recommend that you print and retain a physical copy of these contracts as a backup.
